I'm the CEO of R U Coding Me, a company that develops data, AI, and automation services to help companies scale further with their current headcount.

We needed to develop a cold lead generation system for a large client.

We brought Ula (Senior Software Engineer) and Joanna (Senior Project Manager) from Polcode onboard to help us develop a cold lead generation system for a large client. The existing automation prototype was validated, but we needed to migrate it onto an AWS ecosystem for reduced operating costs, predictable development lifecycle maintenance, and better compliance management.

We worked with two teammates from Polcode.

I found them through a posting I put up on a job board for a development contract we had. I was initially looking for a solo developer, but Polcode quickly changed my outlook in a positive way.

We worked with them from February–June 2025.

We generated nine figures of quarterly lead opportunities with a 20% reply rate and 18% positive response. There were zero runtime or data errors after the initial week of deployment. The operating cost in the long run will be 25% of the original cost to do their current volume of lead generation.

Delivery times were impeccable, with very few delays. Each delay was well justified by the technical complexity of the ask. Fulfilling these delays added very minimal delays that were subsequently offset by early deliveries for the next sprint.

The level and quality of communication were my favorite aspects of this engagement.

I generally like to leave constructive feedback to continuously improve, but I have a hard time thinking about how Polcode could've improved for this project.

As a part of this pro bono initiative, Polcode delivered a platform based on Python, ReactJS, and Serverless architecture. The project included a web-based front end with a facility search engine and an administrative panel enabling volunteers to add and edit facilities.

Successfully created a platform meeting K.I.D.S. Foundation requirements, enabling quick access to information about children’s hospitals. Implemented the Ukrainian language translation mechanism, which expanded platform accessibility.

Despite being a pro bono project, Polcode demonstrated great flexibility and adaptation to the NGO’s needs, supporting the K.I.D.S. Foundation in making key decisions regarding platform development. Despite limited time and resources, the project was completed ahead of schedule.

Polcode’s engagement exceeded typical collaboration. Their pro bono commitment meant they contributed their expertise as volunteers, fully embracing the K.I.D.S. Foundation’s vision. Their flexibility and willingness to adapt technology to cost constraints were exceptional.

Looking at the overall collaboration, I don’t see any significant areas requiring improvement. The project implementation proceeded smoothly and professionally, achieving set goals while maintaining high-quality standards.

The project involved developing a centralized platform to streamline essential business functions in one place. Key deliverables included a secure content repository, communication tools, sales and marketing modules, a full-featured Learning Management System (LMS) for training and certification, digital marketing resources, push-and-pull dialogue capabilities, interactive meeting tools, and in-depth analytics.

The project led to measurable outcomes that demonstrated progress and success, including streamlined operations through platform consolidation, increased user engagement with integrated communication and training tools, and greater efficiency in client onboarding. Additionally, client satisfaction improved significantly, with positive feedback on the platform’s ease of use and comprehensive support.

Their project management was highly organized and responsive. They consistently delivered items on time and maintained open communication throughout the process, quickly addressing any adjustments or additional needs that arose. Their proactive approach and dedication to understanding our requirements ensured a smooth and collaborative experience.

Polcode's task was to build a learning prompt mechanism, the result of which is the preparation of a cold email communication scenario for prospecting campaigns.

We shortened the time needed to prepare communication scenarios by 2x. Moreover, the project paid for itself after only 20 scenarios written by the model, i.e. in about 20-25 working days.

With Polcode we worked iteratively, from workshop to workshop, jointly analyzing the results obtained by the implementation of the prompt. After the 3rd meeting we developed a result that satisfies us. The project was completed within the planned time, mainly thanks to efficient project cooperation.

Polcode took on a difficult project at the intersection of AI and creativity. In my opinion, not every agency takes such a risk, so I appreciate the commitment and conducting the project in the right way.

I have no tips here. The project was carried out perfectly.

Create and build a proprietary Learning Management system that had differentiating features and admin controls. PolCode created a "base" platform that was then duplicated and customized for multiple clients.

An excellent group of designers and programmers. Importantly - they were very solution oriented. For example, if I requested a new functionality, they took the extra steps to make sure they understood the "why" behind the request and then proactively offered multiple solutions (at different cost and timing levels) to achieve. They detail the pros and cons of each suggestion and make sure that the solution fits our needs. This is a process I appreciate very much with this group.

They did a great job. It's sometimes a challenge working with a group that is 6-7 hours ahead of us (for example, if issues or client needs game up late in MY day, it was not reasonable to discuss until the next. Still, PolCode did a great job trying to minimize any negative effects of a wide time difference.
